D.4 Managing Dossier Preparation for Faculty with Joint Appointments

This section also applies to faculty holding a joint appointment in the Dell Medical School (regardless of whether the primary appointment is in Dell Medical School or the other school/college).

(a) Joint Appointment of at Least 30%

Faculty members holding a joint appointment of at least 30% must be reviewed simultaneously in the academic units corresponding to both the primary and joint appointments.

The department chair (or dean in a non-departmentalized college/school) corresponding to the candidate’s primary appointment is responsible for coordinating with the department chair/dean corresponding to the candidate’s joint appointment for the development of the dossier, including:

(1) selection and solicitation of external reviewers, and

(2) selection of the ad hoc committee charged with writing the required BC/EC statement for each area of review.

Note that the faculty members assigned to write each of the BC/EC statements must meet eligibility requirements (Section A.8) and represent both the primary and secondary academic units.

A single dossier is prepared for the candidate in accordance with the school/college guidelines corresponding to the primary appointment.

If the school/college corresponding to the joint appointment requires additional materials for the promotion review, those materials are included in Section G.12(q).

The primary and secondary academic units must conduct independent reviews of the candidate at all levels (Section A.2).

(b) Joint Appointment of Less Than 30%

Faculty members holding one or more joint appointments of less than 30% are reviewed only in the academic unit corresponding to the primary appointment.

The department chair, dean, or faculty member may request the following from the academic unit(s) corresponding to the joint appointment(s):

(a) input regarding selection of external reviewers,

(b) participation by eligible faculty in writing the required BC/EC statements, and

(c) letter from the department chair or dean evaluating the faculty member’s contributions to the secondary academic unit(s).
