Security Level

Security levels correlate with restricted folders in the vault (Assistant to Sr Vice President, Assistant Vice President, Associate Vice President, and Senior Vice President). The Entity selected during filing will determine the record’s security level and effectively the folder it is filed in.


Entities 1 through 33 are associated with the FAS folder and will have the FAS security level.

Entities ABS through SVP are associated with the secure folders. Note in the example below, AVP was the entity selected and Associate Vice President is listed as the security level.

Additionally, only certain record series can be filed in the restricted areas regardless of the entity chosen during filing. If a series is not on the authorized list, the record will default into the FAS folder if the user has access to the folder. If the user does not have access to the FAS folder, the user will receive an error message. The series authorized per folder can be identified by navigating through a secure folder into the child folders such as Administrative, Personnel, and so on. Navigate until the function and series are identified or ask the Vault Support Team to provide a list. The authorized series list per folder can be edited by a Vault Support Team member by emailing fas-dm-support@utlist.utexas.edu.
