Student Organization Travel

Sport Clubs need to submit a Travel Request for international travel at least 6 weeks before departure date. After approved, the Sport Club office will assist the Sport Club with registering the travel with the International Office.

All UT Austin students and employees must adhere to the UT Austin International Travel Process:

  1. Check whether the country you are traveling to is on UT’s Restricted Regions list. If so, apply for and obtain approval from the International Oversight Committee (IOC).

  2. If you are not traveling to a UT Restricted Region and you have not already registered your travel in the MySAO Portal due to your participation in an approved Education Abroad program, register your travel in the UT Austin International Travel Registry (ITR).

  3. Register your travel details and sign up for notifications in the U.S. Department of State’s free Smart Traveler Enrollment Program (STEP).

Forms for International Travel

Even if only one member is traveling, they are responsible for submitting an International Travel Request Authorization form.

Individual Students

in groups of 5 or less, if you are selected to travel on behalf of your student organization, but will not utilize any University Funding, complete the International Travel Request Authorization Form (ITRAF - Individual). For more clarification, please contact the Sport Club Office.

Group Leaders

If you will be leading a group of students abroad, you are required to adhere to the UT Austin Group International Travel Approval Process, regardless of destination.

Overseas Insurance

All international student travel covered by the Student Travel Policy for International Locations includes mandatory enrollment in Overseas Insuranceand emergency assistance coverage through On Call International. The Overseas Insurance policy applies to students:

  • participating in UT Austin sponsored or affiliated study abroad programs

  • conducting independent research abroad

  • attending international conferences

  • traveling abroad as a member of registered or sponsored student organizations

  • participating in internships organized or sponsored by UT Austin representatives

Overseas insurances costs $19 per week and is due 10 days prior to your registered travel start date. It includes two weeks of coverage before and after your program dates, free of charge. Find details about the On Call International policy:

Though some students will be dually covered by a national health care program and/or a program provider insurance policy, all UT-Austin students are required to enroll in mandatory coverage through UT. The only exception is UT-Austin students traveling to their country of citizenship, who must submit a formal request for exemption from UT Austin Overseas Insurance.

We recommend that all students retain their domestic (US-based) health insurance coverage while they are abroad in case they are forced to return to the United States before their program is over for any reason, such as a medical emergency. International students should also be aware that they may need to retain U.S.-based health insurance for visa and immigration purposes.
