1.  Login (ID = 327; no password) and press the ID key.

2.  Press Send (on screen) to switch to the Send page.

3.  Use the Address Book to specify the send destintation.  When scanning a record with the intention of importing it into the Meridian vault, there are two destination options.  Step 4 describes sending the scanned record to your email address.  Step 5 describes saving the scanned record to the network drive.  Use the option that best suits your requirements and then proceed to Step 6.

  • Select your email address from the Address Book to receive the scanned record in your Mail Inbox.  Once the scanned record is received, you can drag and drop it from your inbox into the Meridian vault.
  • Select Scans to TWO from the Address Book to save the scanned record to the network in the VPECS Main Folder.  Once the scanned record is saved to the network drive, you can drag and drop it into the Meridian vault (see the Import record procedure).

4.  Load the document in the scanner feeder face up.  If you are scanning a bound document or something that won't fit through the feeder, you can use the flatbed.

5.  Press Start to scan the document and send the file to your email address or save it to the network folder (depending on which option was selected in Step 3).

6.  Press the ID key when done to logout.

7.  When you return to your workstation, look for the scanned record in either your Mail Inbox or on the network in the VPECS Main Folder.

8.  Open the electronic document to confirm that the image quality is complete and acceptable.  This review and confirm step is crucial since the scanned image of the record will replace the hard copy of the record in our filing system.  If the image quality is poor or pages are missing, the integrity of the imaged record will be comprised and that could have legal implications.  If necessary, rescan the record to capture missing pages or to produce a higher quality image.
