1) Before beginning, review HOP 2-2240: Modified Instructional Duties and EVPP: Modified Instructional Duties for detailed guidance and instructions.

2) Faculty members must submit a request for modification of instructional responsibilities in writing to their department chair. The written request must include the following information:

    1. how many courses are normally taught each year by the faculty member
    2. how many the faculty member will teach for the academic year of proposed assigned modified instructional duties
    3. a statement explaining the need for modified instructional responsibilities
    4. a written proposal describing in detail what work the faculty member will do in place of the applicant’s normal classroom responsibilities. This work may involve significant scholarly research, new course development, curriculum development, or other work done in the best interest of the university’s instructional program. The proposal must define a work product and must propose a method for evaluation of the work by the department chair or dean during the semester.

3) The department chair should review the request following the guidance in HOP 2-2240: Modified Instructional Duties, section F., "Application Review," and if approved,write a memo of support, including why the arrangement is in the best interest of the department, and confirming a method of evaluation. Both the faculty member's request and the chair's accompanying memo of support should be sent to COE-FacultyAffairs@austin.utexas.edu.

4) Dean's Office Faculty Affairs will review the request and forward to the Dean. If approved, the Dean will indicate approval either by email or memo, and return to COE-FacultyAffairs@austin.utexas.edu.

5) Dean's Office Faculty Affairs will forward the faculty member's original request, the chair's memo, and the Dean's approval to EVPP. Upon final review, the Provost will communicate his or her written decision to Dean's Office Faculty Affairs. The decision of the Provost is final.

6) Dean's Office Faculty Affairs will notify the department chair and Administrative Manager of the Provost's decision.

7) Department chair or AM notifies the requesting faculty member of the decision. If the MID was  Department AM completes "Modified Instructional Duties" at Faculty Affairs/APS ServiceNow: Complete Forms.

    • In the section "Required Approval Routing," add the following:
      • Dean's Staff - Optional: Karla Steffen. Field required in COE
      • Dean or Dean Designate: Beth Maloch

3) If the MID is approved, the department should also notify the faculty member of the following in writing:

Use of available sick leave should be entered as an Absence in Workday. View the eLearning guide for Faculty to Request Sick Leave in Workday. Family Medical Leave may be used in conjunction with sick leave and should be recorded when applicable. NOTE: In accordance with HOP 5-4210, Sick leave may not be used in conjunction with Parental Leave or Family and Medical Leave once an employee has recovered from the temporary incapacity related to pregnancy.
