Storage Consumption Measurement

  • Tracking of general storage consumption for UTBackup services began December 1, 2011 and Faculty subsidized service tracking began April 6, 2012 for "DEPT-Faculty" child organizations only.  Staff subsidized service begins September 1, 2013 for "DEPT-Staff" child organizations only.
    • Faculty accounts must be housed in "DEPT-Faculty" child orgs to qualify for licensing and storage quota subsidies.
    • Staff accounts must be housed in "DEPT-Staff" child orgs to qualify for licensing and 20GB storage quota subsidies.
  • General consumption is measured by snapshot of use from the top level org for each department and will include any aggregate storage quota overages for the "DEPT-Faculty" and "DEPT-Staff" child orgs.
  • Subsidized faculty storage quotas are calculated by number of devices in a "DEPT-Faculty" org times 100GB.
  • Subsidized staff storage quotas are calculated by number of devices in a "DEPT-Staff" org times 20GB.
  • Snapshots will be taken at the end of each month.

Usage Reporting

  • Monthly storage consumption reports will be emailed to the official billing contact of each top level organization.
  • Report format will be an Excel spreadsheet containing Organization name, total number of user accounts, total number of UTBackup Clients and total Archive Size for the org (storage space consumed).

How Bills are Calculated

  • The fiscal year for UTBackup billing starts on August 1st and ends on July 31st.
  • Storage totals from each monthly snapshot report during a fiscal year are added together, averaged and rounded up to the nearest GB.
  • Billing for the months of Aug through the end of July will be issued in early August of every fiscal year.

Billing Example

Department Backup Summary Reports provided by ITS will appear similar to the report example below. Reports will only provide information regarding the Department’s total storage usage for a given month. Each snapshot is used in calculating annual storage usage and UTBackup Service invoices.

Storage Use

Departments needing to track individual storage usage over time can export their own snapshot report . Export by device or by user.

  • Select the desired organization and then select its devices or users link.
  • Checkmark Select the desired individual devices or users, or use the select all feature at the top of the window.
  • Then select the gear icon and "export all"
  • Exported data is in the form of an excel spreadsheet

Each Spreadsheet generated provides a breakdown of Departmental users (username), clients being used by each user, and devices or users and their Total Archive size.

The Total Archive size "archivebytes" field is the amount of space used for backup sets for each device or user on the UTBackup server. This number is listed in kilobytes bytes by default but and can easily be converted to Gigabytes when diveded by 1,048,576 (1 gigabyte = 1,048,576 kilobytes)divided by 1,073,741,824.
