Contacting Undergraduates

Policies

  • The RTF Department does not have or maintain contact lists for undergraduates.
  • Instead of direct email, we employ UT's official group email system, EMMA. This regulated system is not intended for casual correspondence and should be used only when the email content impacts a significant percentage of recipients within the UT community (or in our case, within the RTF community).
  • In order to avoid spamming our students, we collect information into e-newsletters that we send through EMMA semi-regularly (3–5 times a semester). These e-newsletters take some time to build (1-3 days) and then, once ready, require an additional 24-hours advanced approval from the college. They typically start out with a message, often from the Chair, and are followed by hyperlinked listings of upcoming events, deadlines, and opportunities.
  • The content of EMMA emails is intended for strictly RTF-related business: we leave other messaging from the College and University to the appropriate official channels.
  • We also encourage undergraduates to subscribe to our social media channels and to The Hub.

Procedures

  1. Reach out to Elana Wakeman at least a week in advance of if you need to communicate with undergraduates.
  2. Elana can add the information to a planned e-newsletter and/or to social media posts.
  3. After Elana creates an e-newsletter and has the Chair's approval, she will schedule its delivery for the following business day or later. Before it can go out, it first will require a gate-keeping approval by Moody College's Chief Marketing and Communications Officer, Kathleen Mabley, at least 24-hours in advance.

Contacting Alumni 

Policies

  • The university uses a system called Eloqua to communicate via email with alumni and friends of the college. This system is connected to the VIP database and should be used only when the email content impacts a significant percentage of recipients.
  • The RTF graduate coordinator maintains a database/listservs of alumni from the graduate program
  • We encourage our alumni to follow us on social media to learn about events and opportunities.

Procedures

Check in with Elana Wakeman (or Moody College Development via the RTF Chair). Both Elana and the Moody College Development office can send Eloqua emails.

Update Your Faculty Profile / Official Contact Info

RTF Web Profile Updates

To request edits to your RTF/Moody faculty web profile, contact Elana Wakeman .

UT Contact Updates—all except office location)

If you change your official UT email address (note: see Guidance on UT Mail), title, or phone number, please do the following:

  1. Update Workday.
  2. Update UT directory
  3. Request Rachel & RTF Office Manager to update listservs and contact lists.
  4. Ask Elana to update your faculty profile page on the RTF site.

If your office location has changed, ask Rachel Walker to request that Moody College HR team change it in Workday.
