SEATS

SEATS is an online tool for tracking event attendance via card reader or manual entry. Once you create an event in SEATS, you can give permission to anyone with a UT EID to log in and take attendance, which is tracked using cardswipes or manual EID type in. 

Joining To join the Sanger group in SEATS, email the SLC Director with a list of names and eids.

Trouble Shooting SEATS was programmed by the Web Development Team in UGS.

How to Create an Event 

  1. Click on the SEATS link above. If you are not logged in, it will prompt you to log in with your UT EID.
  2. On the top bar, select "Add Event".
  3. Under "Department", it should auto-fill "Sanger". 
  4. Fill in the correct "Start Date".
  5. Slide the bar below the calendar to the correct "Start Time" and click "Done".
  6. Follow the same steps for the "End Date / Time".
  7. Enter the "Title" of the event.
  8. Fill in the "Building" and "Room" number fields.
  9. Fill in the "Coordinator EID(s)" field with the EID of every person who will need access to check students in. This could be professional staff, student associates or student volunteers. If there EID is not inputted here, they will not have access to check students in for your event.
  10. If applicable, fill in the Course unique, semester, dept and number.
  11. Review your event, and click the blue "Create Event" button.


How to Edit, Cancel or Delete an Event

  1. First, find the search bar at the top of the SEATS home page.
  2. To search for the event that you would like to edit, enter a date range that surrounds the day of your event in the "Events After Date" and "Events Before Date" fields. Click "Search".
  3. To further filter, add the "Semester" or "Coordinator EID".
  4. When you find your event listed below, look to the right of the screen, in the 2nd to last column for the text link, "View" (see below in red). Click the link.
  5. On the Event's page, then look for the text link, "Edit".
  6. If you need to make changes, make your edits and then select "Update Event".
  7. If you need to "Delete" or "Cancel" an event, scroll down and select "Delete Event" or "Cancel Event".

How to Copy a Similar Event

  1. Use the same steps to find your event as you would if you were editing, canceling or deleting.
  2. Click "View", and then select the "Edit" text link to get to the "Edit Event" page.
  3. Once you are in the "Edit" page, scroll down to the bottom and select "Copy+Week". This will copy the event and set it for one week after the event you are viewing. To find it again, click on "Events List" or return to the "Home Page" to search.
  4. If you want to make a copy and make changes to that new copy, instead select "Copy+Edit". This will copy the event and allow you to make any necessary edits before submitting

How to Export Attendance Data

  1. Click on the SEATS link above. If you are not logged in, it will prompt you to log in with your UT EID.
  2. Use the search area to filter for the event you are looking for. The best tool is the date range.
  3. Scroll until you find the date / event that you are looking for.
  4. Click "View".
  5. Once you are in the "Event Detail" page, check to see if there are EIDs listed in attendance.
  6. If there is a list, click the "Export Roster" button to export a CSV file of the EIDS. (this is easier than copy/paste)
  7. Then find the file in your "Downloads" folder on your computer. Copy the list of EIDs to place into the FileMakerPro spreadsheet.
