Migration: What's Happening

As you are aware, the University is requiring the McCombs School of Business to adopt the centrally-managed instances of Office365 and Active Directory. We have reached the critical point in the process where it is now time to migrate our email services. The McCombs Office365 & Email migration is scheduled for Saturday, March 31st, 2018.

As the time nears, we want you to be aware of what’s happening and what you can expect. This page will provide updates on the status of the migration project and reference information to help along the way. While our goal is to minimize disruption, these changes will require active participation from McCombs faculty, staff and other users of these services.

 Things You Need to Know
 When is the migration happening?

March 31st, 2018

 Is my email changing?

No, you will continue to use your current firstname.lastname@mccombs.utexas.edu to send and receive email.

 Will I log into my email the same as I do now?

No. After the migration, you will log into your email with firstname.lastname@mccombs.utexas.edu and your EID password.

 Will I continue to log into my computer the same way?

Yes. You will continue to log into your computer using your EID and EID password.

 What is being migrated?

We will migrate ALL of the contents of your mailbox, including but not limited to:

  • Mail
  • Calendar
  • Contacts
  • Groups
 What's not being migrated?

Unfortunately, we can not migrate anything that is saved to your local profile, including but not limited to:

  • Inbox Rules
  • Email Signatures
  • Forwarding Settings
  • Out of Office Reply Settings
  • Views
  • Additional Mailboxes
  • Categories
  • Personal Folders
  • Archived Mail
 Do I need to do anything about this?

 

 

 Yes/ No/ Maybe

Yes:

  • You make heavy use of any of the above items
  • You use few of the above items and they are important to you

No:

  • You have heard of such things, but other than that they aren't important.
  • You live in a world where chaos is king and you're okay with that.

Maybe:

  • You use a few rules and an email signature, only.
  • You can easily recreate these after the migration without any issue.

I answered "Yes" or "Maybe", so what do I need to do?

  • Not to fear, we are here to help. We will provide step-by-step instructions on how to take care of all of these issues (coming soon!).

Computer Services will be sending frequent updates and communications all during this process.

Please review all updates when you see them, and if you have any questions or concerns please bring them up with us as early as possible.

 

 

 General FAQ's
 Will I be able to access my email during the migration?

No, you will be unable to access your @mccombs.utexas.edu account during the migration.

 Can I use my current Outlook client after the migration?

 

Yes, you will continue to use your current Outlook client after the migration (or other desktop client - i.e. Apple Mail, etc...)

 

 Will I have to update my Outlook client?
  • Yes, you will need to delete your old profile and create a new one after the migration, to access your @mccombs.utexas.edu account.
  • You will not need to download any updates or new software.
 Do I have to be migrated?

Yes.

 Will my email change?

No. You will continue to use your @mccombs.utexas.edu email address to send and receive email.

 Will I have to reconfigure anything ?

Yes. ALL desktop, laptop, and mobile device email clients must be reconfigured with a new profile, after the migration to reconnect with your mailbox.

 How will I know when the migration is complete?
  • We will provide a maintenance window with as accurate a time as we can, for the migration to be complete.
  • We will provide migration updates on this Wiki page, the day of the scheduled migration.

 What's the most reliable way to access my email immediately after the migration window?

Immediately after the migration window, the most reliable way to access your email will be Online Web Access (OWA)Please bookmark that site before 3/31.

 Does this migration affect everyone?
  • This migration affects everyone with an @mccombs.utexas.edu address: Faculty, Staff, PhD Students, Full-time MBA Students.
 Will my contacts be migrated?

Yes.

 Will all of my email migrate?

Yes.

 Will my calendar migrate?

Yes.

 Will shared mailboxes still function the same way as they do now?

Yes, all permissions will be migrated.

 Will my distribution list be migrated?

Yes.

 Will I lose any of my information during the migration?

Anything that is attached to your local profile will not be migrated:

Migration: What to Expect
 Prior to migration
 Complete Pre-Migration Steps (if required)

Please follow these steps before March 30th, 5:00pm

 Please review often

 Make note of
  • Make note of any special email permissions or additional mailboxes you rely on.

  • If you have shared your mailbox with someone or access a secondary mailbox as a key part of your job, it would be helpful to have that information so we can fix any issues post-migration.
 Print Out Your Outlook Calendar

If you rely heavily on the use your Outlook Calendar, please print it out prior to the migration.

 If you make heavy use of any of the following:
  • Inbox Rules

  • Email Signatures
  • Forwarding Settings
  • Out of Office Reply Settings
  • Views
  • Additional Mailboxes
  • Categories
  • Personal Folders
  • Archived Mail
 For those who want to be extra sure that they have everything
 During the Migration
 Your mailbox will be briefly unavailable while it is in transit

Your mailboxes will be offline for several hours during the Migration window. If you are try to access your mailbox during this time, you will receive a message that your mailbox is inaccessible.

 New incoming email will be held in a queue while your mailbox is moved and will be delivered to your mailbox once its migration complete

The Office 365 Exchange servers always receive mail in an incoming queue before delivering mail to the appropriate mailbox. At the point when your mailbox is unavailable during its migration, the server will simply hold your incoming email in this queue until your mailbox becomes available once again. Once your mailbox becomes available, your incoming queued mail will be delivered to that mailbox.
