Alexander Architectural Archives: Workflow for saving UTBox accessions to tape
- AAA staff will save all collection material comprising one AIP (Archival Information Package) into a single UTBox subfolder within the "Vault to Tape" box folder. Subfolder should be named "collection first name_collection last name_receipt date." Ex: anthony_alofsin_20161118).
- AAA staff will save pdf version of accessions database record corresponding to the AIP within the "Vaut to Tape" subfolder. Delete information in the "appraised value" field before saving the pdf. Once pdf is created, return the appraised value information to the accessions database.
- Once all files are within the collection's subfolder in the "Vault to Tape" box folder, email Digital Stewardship staff member that subfolder is ready for transfer.
- Ashley will download the content, as it is currently arranged, to a working space for Digital Stewardship, putting it in the directory structure that we use for AIPs.
- Ashley will log the package in our recordkeeping.
- Digital Stewardship will run technical metadata (FITS) on the files and put the output in the AIP.
- Digital Stewardship will bag the AIP, putting the descriptive information that you sent me into the bag-info.txt file for the bag.
- The bag will be vaulted to tape.
- Digital Stewardship records will be updated with information about the bag and vaulting.
- Digital Stewardship will retain a SIP in our volume with everything from the AIP except for the actual file content (so, all metadata and the tag files from bagging). This will aid in future restore requests from tape.
- Digital Stewardship staff will communicate finished status and SIP number to AAA staff.
- AAA staff will delete collection subfolder from "Vault to Tape" Box folder.
