A.6 Minimum Number of Eligible Voting Members for Promotion Review Committees

The BC/EC and CAC review committees at the department and college/school levels (Section A.2) must include at least five eligible voting members for each promotion case considered. In cases with fewer than five eligible voting faculty members on the promotion review committee (BC/EC or CAC), the dean must form an ad hoc promotion review committee with a minimum of five eligible voting members. The ad hoc review committee must include all eligible voting members from the applicable promotion review committee in the candidate’s home department and/or college/school.

Units with five or more voting-eligible faculty on their promotion review committee may choose to add one or more additional tenured faculty members from outside the candidate’s home department or from outside the candidate’s home college/school to the review committee. The additional members must satisfy eligibility requirements (Section A.4) and be familiar with the relevant standards of excellence for the candidate’s primary areas of research, scholarship, and/or creative activities.

The ad hoc review committee must be formed in the spring term before the start of the promotion review process so that the ad hoc committee can fully participate and contribute to all aspects of the promotion review process (e.g., preliminary votes on whether the faculty member should be a candidate for promotion and selection of external reviewers).

Wherever these Guidelines refer to the roles and responsibilities of the BC/EC or CAC, the statement also holds true for ad hoc promotion review committees as described in this section.
