UT Austin has a longstanding university policy that requires all employees to use official university email accounts for university business. Employees must use an @austin or @utexas and have an @austin or @utexas email on file in Workday.

New UT Austin employees starting on or after 12/11/18 will have an @austin.utexas.edu email address created for them automatically by ITS. This mailbox is discoverable via UT's Exchange directory, so you may receive email there and not know about it. This can be problematic for obvious reasons. Follow these steps to remove that address from the Exchange directory and to forward your email to your preferred UT Email.

To add or update an email in Workday, take the following steps:

  1. Log into Workday
  2. Type Change My Contact Information in the search box.
  3. Click the Change My Contact Information link when it comes up.
  4. Scroll down the page to the Work Contact Information section under which you will find Primary Email. (Note – there is a Home Contact Information section and a Work Contact Information  Make sure you are editing the Primary Email in the Work Contact Information section.)
  5. Click on the pencil next to the primary email address to add a new (or edit your existing) UT work email address.

Ensure you are using your official university email address for university business.

  • Using a personal email address for university business means your entire personal email record could be subject to open records. These emails and responses to them are also subject to state records retention and security requirements.
