The EDP Course Scheduling Procedures were created to work process works within University standard timelines, allow for advance scheduling for budget and instructional staffing purposes, and provide a consistent and predictable system to organize classes for advisers and students in EDP, COE, and outside the college.
EDP Standard Timelines
Standard Timelines are the unit by which the Registrar assigns rooms; deviating from the standard reduces the number of rooms available to EDP for any given semester. Non-standard timelines can also cause course conflicts for students, particularly undergraduate and out-of-department graduate students. The EDP Standard Timelines below are based on University Standard Timelines. EDP courses must adhere to EDP standard timelines, and should attempt to adhere to University Standard Timelines as well whenever possible.
MWF:
1 hour = 8-9, 9-10, 10-11, 11-12, 12-1, 1-2, 2-3, 3-4, 4-5

1.5 hour = 8-9:30, 9:30-11, 11-12:30, 12:30-2, 2-3:30, 3:30-5
3 hour = 9-12, 1-4, 4-7
EDP Departmental Foundation Course Blocks
- Foundation Courses (formerly "Department Core") are offered by HDCLS and QM, and are required for EDP students in all program areas. They are scheduled in specific time blocks, and all areas should schedule their 1st (and sometimes 2nd)-year required courses around them.
- 1-hr colloquiums should be at noon M or W.
- No classes on Friday due to department meetings and student practicum/internship schedules.
- When scheduling courses, keep the Foundation course times in mind. In general, 1st-year area specific courses should not be scheduled during core blocks, to ensure students are able to take their core courses.

Course Scheduling Procedures
- EDP Scheduler notifies Area Chairs when it's time to schedule a semester review meeting.
- Scheduler meets with each Area in an area faculty meeting to review and finalize schedule for upcoming semester, and make any necessary changes to the multi-year schedule.
- After area meetings are concluded, Area Chairs review cumulative schedule for any conflicts, sends corrections to Scheduler by the stated deadline. Department Chair final approves. meets with each Area semesterly to review their Multi-Year Plan. This is when faculty will communicate their time/teaching preferences.
- EDP Scheduler creates the upcoming semester schedule based on each area's Multi-Year Plan, Foundation course blocks, GPC availability, cross-area courses, projected enrollments, teaching assignments, and preferences from the Multi-Year Review meeting. Schedule is reviewed by the EDP Department Chair, Accountant, and Executive Assistant.
- EDP Scheduler posts schedule in UTBox for Area Chair review. Area Chairs will have a set deadline by which any conflicts/corrections must be sent to the Scheduler. These should NOT include preference changes - preference requests must be made in the semesterly Multi-Year Review meetings.
- After the initial deadline, Area Chairs will review the cumulative schedule for any new conflicts/errors, and send corrections to the EDP Scheduler by a set deadline. Department Chair final-approves the schedule.
- NOTE: Emergency changes only after this point (e.g. illness requiring leave, unexpected course buyout, etc).

- After The day following the schedule change deadline, Scheduler sends deadline:
- Course Schedule is entered into the UT system
- EDP Scheduler sends each faculty member
- confirmation of their individual teaching schedule for the upcoming semester.
- Course Schedule is published online by Registrar, Advising Begins
- EDP Scheduler sends Advising reminder prior to advising start
- Advisors must NEVER refer to internal copies of schedules, as they may not be accurate. Advisors & students must use only the online course schedule for advising.
- At end of Advising period, Scheduler notifies Department Chair of courses EDP Scheduler posts daily enrollment reports in Box for Area Chairs to review during Advising. Courses at risk of low enrollment based on advising #swill be evaluated by Department Chair for either cancellation or advising options.

Chair makes enrollment-based course cancellation decisions.

EDP works very hard to accommodate individual faculty preferences in course scheduling. Faculty preferences must be communicated to the EDP Scheduler during the semesterly Multi-Year Plan Review meetings. Classroom availability has become increasingly challenging due to a number of factors. EDP owns controls only 4 classrooms (SZB 268, 444, 432, and 435), but has ~70-80 classes that require a room each semester. The - the vast majority of classrooms rooms our faculty teach in are actually controlled by the Registrar's Office. EDP requests use of these from the Registrar for our classes each semester, but requests are often denied due to Registrar policies on allottment, which involve factors like department GPC allottments, UT standard course timelines, % enrollment/room capacities, competing priorities with other departments, scheduling access periods, etcthere are limitations around what we can request, and requests are not always accommodated. |
