Shift Covers

If you are unable to work a shift please attempt to trade shifts with another peer associate. We use the GroupMe app to keep all correspondence in one place and email is always an option. It is important that you trade shifts rather than cover another person's shift so that we can insure you fulfill your work study award amount.  At this point, it please email Claire at claire.gaylord@austin.utexas.edu about the swap so you are no longer accountable for the shift.

 

Procedures for Calling in Sick

If you wake up sick please do not come into work. Bugs spread quickly! Please email Claire as soon as possible. Please send out a groupMe message or an email to your colleagues to see if someone can cover the shift. You can worry about swapping hours with them later. If you find someone to take your shift, please follow the procedures outlined above. If you are unable to work a shift scheduled after 5PM you must contact Claire ASAP!

 

Running Late

We know that sometimes traffic gets the best of you. If you are running late, please let Claire know. 1)     You and your team members are responsible for staffing the administrative office between the hours of 8:00 am and 5:00 pm M-F 8am-5pm and the Drop in Tutoring Center M-Th 11am-10pm, F 11-3pm, and Sunday 5-10pm.

2)     You are responsible for knowing the amount of your work study award and tracking your earnings so as not to exceed your award limit before the end of the semester. If at any point you are concerned you may exceed the amount of your award, let your supervisor know immediately.

3)     You are responsible for finding coverage for your own shifts in times of absence, but you must never go over 12 hours of work per week (policy). If you know you need a shift covered due to illness or conflict, please do the following:

  1. Send a GroupMe message well in advance to all of your colleagues
  2. If possible, swap shifts to keep hours balanced among team members.
  3. Once someone has replied, send an @ message to Claire to summarize the switch. 
  4. If no one can cover your shift, or if it is a true emergency, it is your responsibility to contact your supervisor (by either GroupMe message, text, or call on her office number 512-475-8712). If you don’t reach her, be sure to leave a message to explain the nature of the emergency shift coverage issue.
  5. Please add any notes/comments about your current time sheet in the notes section when you submit your time sheet at the end of every week.
