General Information

EDP Course Scheduling process works within serves to comply with University standard timelines, allow allows for advance scheduling for budget and instructional staffing purposes, and provide provides a consistent and predictable system to organize classes for advisers and students in EDP, COE, and outside the college

Process

  1. Semesterly: Areas meet to review and update the multi-year schedule, and communicate any changes to the Graduate Advisor/Administrative Support Coordinator. Administrative Support Coordinator will reach out to Area Chairs each semester with deadlines for updates.
     
  2. UT Scheduling System opens for an upcoming semester:
    1. Leadership Team reviews schedule based on area requests, University/COE policies/priorities, and faculty preferences. Department Chair will final-approve schedule. 
    2. Semester schedule is entered into the UT system (emergency changes only after this point).

  1. Registrar publishes Course Schedule online, Advising/Registration begins
    • Advisors & students should use only the Registrar's published online course schedule for advising.
    • Daily Advising/Enrollment Reports are available for Area Chairs to review during Advising. Courses at risk of low enrollment will be evaluated by Graduate Advisor, Area Chair and Department Chair for cancellation or advising options.

Timelines

Standard Timelines are the unit by which the Registrar assigns rooms; deviating from the standard reduces the number of rooms available to EDP for any given semester. Non-standard timelines can also cause course conflicts for students, particularly undergraduate and out-of-department graduate students. The EDP Standard Timelines below are based on University Standard Timelines. EDP , with the exception of T/TH 3-hour courses, which were voted to remain consistent with the UT-Standard MWF 3-hour times and allow for a 1-hour lunch break for students; EDP courses must adhere to EDP standard timelines, and should attempt to adhere to University Standard Timelines as well whenever possible.

Department Foundation Course Blocks

  • Department Foundation Courses (formerly "Department Core") are courses offered by HDCLS and QM , and that are required for EDP students in across all program areas. They are scheduled in specific time blocks, and all areas schedule their 1st (and sometimes 2nd)-year required courses around them. 
  • 1-hr colloquiums should be at noon M or W.
  • No classes on Friday due to department meetings and student practicum/internship schedules.

Course Scheduling Process

All meeting dates and deadlines will be posted on the Faculty Calendar, with corresponding meeting/task invitations in Outlook.

  1. Semesterly: EDP Scheduler meets with each Area to review their Multi-Year Plan. This is when faculty will communicate their time/teaching preferences.
     
  2. When Scheduling System opens for an upcoming semester: EDP Scheduler creates the upcoming semester schedule based on the Multi-Year Plans as well as UT rules/regulations (Foundation course times, GPC allottment, projected enrollments, cross-area courses, teaching assignments, TA/AI budget and availability, scheduling rules & regulations, and teaching preferences from the Multi-Year Review meetings); it is then reviewed by the EDP Department Chair, Accountant, and Executive Assistant for budget/leave/instructional duty issues.
     
  3. Schedule is posted in UTBox (by EDP Scheduler) for Area Chair review. Area Chairs will have a set deadline by which any conflicts/corrections must be sent to the Scheduler.
    • Do not send preference change requests at this point - preference requests will already have been accommodated when possible. Preference requests must be made in the semesterly Multi-Year Review meetings.
    • Area Chairs will be notified by EDP Scheduler of any cross-area changes made.
       
  4. Following deadline day, Department Chair final-approves the schedule and it is entered into the UT system.
    • Emergency changes only after this point (e.g. illness requiring leave, unexpected buyout, etc).
       
  5. EDP Scheduler sends each faculty member confirmation of their individual teaching schedule for the upcoming semester (1 business day after deadline day)
     
  6. Course Schedule published online by Registrar, Advising Begins
    • EDP Scheduler sends reminder prior to advising
    • Advisors must NEVER refer to internal copies of schedules for advising. Advisors & students must use only the Registrar's published online course schedule.
    • EDP Scheduler posts daily enrollment reports in Box for Area Chairs to review during Advising. Courses at risk of low enrollment will be evaluated by Department Chair for either cancellation or advising options.

titleA Note on Classroom Assignments

EDP works very hard to accommodate individual faculty preferences in course scheduling. Faculty preferences must be communicated to the EDP Scheduler during the semesterly Multi-Year Plan Review meetings.

  • QM Foundation Courses are scheduled T & TH in 1.5-hour blocks, between 8AM and 3:30 PM. 
  • Colloquiums should be either M or W 12-1
  • No classes Friday afternoons due to department meetings.

Classrooms

Classroom preferences should be communicated to the EDP Graduate Advisor during schedule review meetings. Classroom availability is limited due to a number of factors: course closing limit and room capacity, room features, location, and room use requests from other departments.
