Description / Examples

Completed

The Completed assignment is used to indicate that all document actions have been finished and the Retention term should begin.  Because the Completed assignment is an end state, an assigned to person and due date aren't required.

Completed - Hard Copy Given to Recipient

 

Completed - Scanned to IRS

 

Pending Approval

Use the Pending Approval assignment to flag documents that require approval and indicate whose approval is required in the Person field.  Typically, this assignment is used for approval by people within the VPUO office.  If an external approval is required, select the name of the person in the VPUO office who will be responsible for getting the approval and record the name of the external approver in the Comment field.

Pending Retention Review

Pending Retention Review is set by the Meridian application after the Document Manager or System Administrator runs the Retention Flag Tool.  This assignment indicates that the document's retention has been met or is within one week of being met.  The Document Manager will monitor the vault for documents Pending Retention Review and process the documents according to the UT Records Retention Schedule.
