- Current Demographics provide up-to-date information for faculty and staff on total headcounts (top center large boxes), employee education, race/ethnicity, age, longevity at the university, and pay. These demographic data are updated at the end of each month. Information is provided for (1) the overall university; (2) a selected college, school, VP portfolio (C/S/VP), or department; and (3) all units on campus other than the selected unit. The color key for organizational groups is in the upper left corner. Scales for each organizational group are different to allow for relative comparison among the groups.
- By default the information is presented graphically. The information can be displayed as a table by clicking on the Table button in the upper right of the page.
- Query the data to answer questions
► Hover over a name or color on the color key to highlight that organizational group. Select the C/S/VP or Other UT Units groups to display only their values (note that the university group remains visible, but only the values of the subgroup are displayed for the university). Select the same name or color to turn off highlight.
► Hover over individual bars to display relevant information such as specific headcount, percent percentage of total employees, and data sources. Note that related graphs also are highlighted.
► Filters allow you to focus on specific information. This report contains several filters across the top of the pages. You can use the filters singly or in combination to refine, or “slice,” the data. Applying a filter will modify all of the graphs simultaneously. The filters are described below.
- Note that selecting any bar or value will highlight the other graphs.
- Filter for Benefits Eligibility using the dropdown menu at the top of the page: click on the down arrow, select benefits or non-benefits eligible.
- Filter for Citizenship status using the dropdown menu at the top of the page: click on the down arrow, click on “All” to clear the boxes, select the citizenship status(es) of interest , click on “Apply.
- Filter for Employee Type using the dropdown menu at the top of the page: click on the down arrow, click on “All” to clear the boxes, select employee type(s) of interest, click on “Apply.
- Filter to view FLSA status using the dropdown menu at the top of the page: click on the down arrow, select “Exempt” or “Non-Exempt.”
- Filter to view headcounts by Full-Time/Part-Time status using the dropdown menu at the top of the page: click on the down arrow, select full- or part-time”.
- Filter to view headcounts by Gender using the dropdown menu at the top of the page: click on the down arrow, click on “All” to clear the boxes, select “female” or “male”.
- Filter to view one or more Job Categories (Occupational Group) using the dropdown menu at the top of the page. After selecting the dropdown menu by clicking on the down arrow, remove titles by clicking the check marks of titles you want to exclude, or click on the “All” check mark to remove all check marks, then click the boxes of titles you want to include. If specific job titles are of interest, then use the Job Titles filter.
- Filter to view one or more Job Titles using the dropdown menu at the top of the page. After selecting the dropdown menu by clicking on the down arrow, remove titles by clicking the check marks of titles you want to exclude, or click on the “All” check mark to remove all check marks, then click the boxes of titles you want to include. If categories of job titles, or occupations, are of interest, then use the Job Category filter.
- Filter to view the data by Retiree Status using the dropdown menu at the top of the page: click on the down arrow, select “Retiree” or “Non-Retiree.”
- Filter to view the data by Veteran Status using the dropdown menu at the top of the page: click on the down arrow, select “Veteran” or “Non-Veteran.”
► For each graph, if there are departments within the C/S/VP, you can view departments within the C/S/VP by clicking onnext to the graph. (If there are not any departments this symbol will not appear.) Each graph is viewed individually.
► For the Headcount by Age, Headcount by Longevity, and Headcount by Salary graphs average or median values are presented below each graph.
► Settings for the Headcount by Age, Headcount by Longevity, and Headcount by Salary graphs can be changed.
- Headcount by Age
- The iGen, Millennials, GenX, Baby Boomers, and Traditional generations can be highlighted by hovering over the respective labels to the left of the graph. Clicking on a generation label will display only that generation.
- By default, the graph shows the number of employees at each year of age. Grouping employees in year blocks (e.g., 5 year block, 10 year block, etc.) may be more meaningful. To change the increment amount, go to the Select Age Increment box at the top of the page with the other filters and use the slider or > to increase the increment to 5, 10, or 20 year increments.
- Headcount by Longevity
- By default, the graph shows the number of employees at each year of employment. Grouping employees in year blocks (e.g., 5 year block, 10 year block, etc.) may be more meaningful. To change the increment amount, go to the Select Longevity Increment box at the top of the page with the other filters and use the slider or > to increase the increment to 5, 10, or 20 year increments.
- Headcount by Salary
- By default, the graph shows the number of employees in $10,000 salary ranges. Grouping employees in narrower ranges (e.g., $5,000) or wider ranges (e.g., $20,000) may be more meaningful. To change the increment amount, go to the Select Salary Increment at the top of the page with the other filters, click on the existing value, type the value desired and hit enter.
- By default, the graph is set to show a wide range of salary rates from high to low. If the focus is a small set of jobs or specific workforce characteristics, the range of salary rates can be narrowed to better visualize the data. To change the lower limit of the salary rate range, go to the Salary Lower Limit at the top of the page with the other filters, click on the existing value, type the value desired and hit enter. To change the upper limit of the salary rate range, go to the Salary Upper Limit box at the top of the page with the other filters, click on the existing value, type the value desired and hit enter.
► Printing dashboards
- You may want to print dashboards to share with others. The graphs showing on the screen are what is printed. Multiple prints are required if a graph needs to be scrolled to reveal additional sections of the graph.
- Click on the Download button at the bottom or top of the page.
- For a PDF document, select PDF
- For most dashboards select Landscape (you will be able to see the document on-screen before printing and change if desired).
- Under Content, select This Dashboard
- Click on the Download button, a small window will appear, Download PDF, click on Download
- A Microsoft Open/Save window will open, click on the Open with button and click OK
- For an Image of the dashboard, select Image
- A small window will appear, Download Image, click on Download
- A Microsoft Open/Save window will open, click on the Open with button and click OK
- You can print directly from the Windows Photo Viewer or copy it and paste it into a Word document
► Clear all filters and return to default settings by selecting Revert at the bottom or top of the page (you can return an individual filter to its default settings by selecting above the filter drop down menu).
- Example 1: How many employees in your college, school, or VP portfolio (C/S/VP) are Hispanic, and what is their average age, average longevity, and median salary? What are these values for male Hispanics only?
► In the Race/Ethnicity graph, mouse over the C/S/VP Hispanic bar to identify the number of Hispanics and their percentage of C/S/VP employees.
► Click the Hispanic bar to select it. Under the Headcount by Age graph, read the average age; under the Headcount by Longevity graph, read the average longevity; under the Headcount by Salary graph, read the median salary.
► Go to the Gender filter at the top left of the page, click on the drop box down arrow, and click on male. Mouse over the highlighted C/S/VP Hispanic bar to identify the number of male Hispanics and their percentage of C/S/VP employees.
► Read the age, longevity, and salary values under the respective graphs.
► Select the Table button in the upper right corner of the page to display tabular values. Note the Gender filter remains on. To view only Hispanic males in your C/S/VP, select the C/S/VP Hispanic value/cell.
► Print the dashboard if desired.
► Click the Revert button on the top or bottom of the page to undo the filters.
- Example 2: In your C/S/VP, how many benefits eligible females with a Bachelor’s degree earn between $45,000 and $75,000? What is their average age and average longevity?
► Start with the Benefits Eligibility filter in the upper left corner. Click on the down arrow and select Benefits Eligible.
► Move down to the Gender filter, click on the down arrow and select Female.
► Move to the Salary Lower Limit filter (lower right among the filters), click on the existing value and type 40,000, hit enter. In the Salary Upper Limit box, click on the existing value and type 80,000, hit enter. In the Select Salary Increment box, click on the existing value and type 5,000, hit Enter.
► Move to the Educational Attainment graph. Click on the BA/BS bar for your C/S/VP panel.
► Move to the Salary Range graph in the lower right, mouse over the columns for $45,000, $50,000, $55,000. $60,000, $65,000, and $70,000, note the number of employees for each column and sum them.
► The average age and average longevity are displayed below the Headcount by Age and Longevity in Years graphs.
► To use the Table view to answer this question, as above, go through the filtering for benefits eligibility and gender, adjust the salary range settings, then go to the upper right of the dashboard and select the Table button. The graphs will turn into tables.
- Move to the Educational Attainment table. Click on the number of employees count or percentage in the BA/BS column for your C/S/VP panel.
- Move back to the Salary Range table in the lower right, sum the number of employees in the columns from $45,000 to $70,000.
► Print the dashboard if desired.
► Click the Revert button on the top or bottom of the page to undo the filters.
- Example 3: You have departments within your C/S/VP, and you want to know how many full-time employees have bachelor’s degrees in a particular department.
► Start with the Educational Attainment graph, click on to display the departments in your C/S/VP and their educational attainment.
► Go to the Full-Time/Part-Time filter at the top of the page, right side, click on the down arrow, select Full-Time.
► For the department you are interested in, mouse over the column for BA/BS, or click on the Table button in the upper right corner of the page to display counts and percentages.
► Print the page if desired.
► To return to the C/S/VP level, click on the in the upper right corner of the page.
► Click on the Revert button at the bottom or top of the page to undo the Full-Time filter.
