EML Entitlement for Mailbox Access


What is this?
This provides temporary mailbox access for a limited set of cases where the eligibility no longer exists. Loss of an appointment with UT Austin triggers a 30 day countdown for the removal of the account. The nature of a request to temporarily extend this account stems from the need to continue accessing the account after the appointment has expired.

When do you need this?
This might apply if you are set to experience a separation from the university for longer than 30 days. Please note that this request only extends your account for 15 or 30 days, depending on the case and the approval. If there is a need to extend it beyond that, employees/supervisors should work with the department's HR staff to identify a more appropriate appointment within Workday.

How do you request this?
Start by putting in a ticket with CNS IT: https://cns.utexas.edu/help The request will be directed to the CNS IT department who will be responsible for filing out the appropriate form. Once this is received and approved by campus email admins, you should get a notification of the approved extension for the account defined. You then continue to use it as you have been for the life of the extension (15 or 30 days).

Who is affected?
UT Austin future and current employees including student workers are eligible for an O365 account. These accounts automatically receive the EML mailbox entitlement. When you leave your appointment, this account is automatically scheduled for deletion 30 days after the last day of employment. Retirees do not automatically get this entitlement. To ensure your account remains as you switch from appointed to retiree, please work with your department's HR to ensure the appropriate entitlements are selected to keep the account active.

For employees leaving The University, we ask that you work with your supervisor to transfer any data or emails needed prior to your last day. For supervisors set to lose an employee, we ask that you work with your employee and capture any emails and/or data required for departmental use.
