Authorizations
(This is not exhaustive; a work in progress.)
FAR Admin and Faculty Profile:
- Who: New department managers
- What: FAR Admin (Faculty Activity Report (FAR) Provost System; Administrative View) and Faculty Profile (Provost's Faculty information system)
- How: Send requests (name, EID, and department) to COLA HR, attn: Ann Kelble.
- Please note that Faculty Profile access will be limited to one contact per department, the department manager. If a department has a valid business reason to request additional staff authorization for FAR Admin, this request (including name, EID, and business reason for additional access) should be sent by the staff member's supervisor as above.
UT Mainframe Logon:
- Who: Any UT staff member new to department whose duties will include financial, business, course-related, student-related, or HR-related administrative duties.
- Also, any faculty member who serves as unit head, needs to provide approvals for business processes, or needs access to Toolkit (or similar) related to their departmental responsibilities.
- What: Logon: UT Mainframe (VIRTEL) ID that will serve as a basis for systems authorizations and routing of business processes.
- Consists of 5 (can be 4 but 5 is better) characters: the first two characters represent the unit (a.k.a. DP/Department Profile) in which the employee will be working, e.g., "PU" is the profile for the Department of Philosophy; the remaining three characters are traditionally the 3 initials of the employee's name. When the employee does not have a name that generates 3 initials, the logon is typically the 2 initials, plus a number, e.g., "1."
- How: The Department Manager should send requests for new logons to the DPUSER contacts for their unit, including the employee's name, EID, and preferred COM-PLETE (either "Students" or "Fiscal").
- DPUSER contacts can be found on the DP screen within the DPUSER mainframe application; if someone needs to look this up and does not have access to DPUSER, they can ask COLA HR for help.
Visual Compliance (for Visiting Scholar and Researchers):
- Who: Department staff responsible for appointing visiting scholars in Workday
- What: Visual Compliance is a system used to verify whether or not visitors to UT (both national and international) have been flagged for any potential export, import, trade, or known security risks, prior to their visit.
- How: Go to https://www.visualcompliance.com/usr/ and complete the form. That will automatically register you, and you will get notices about upcoming training from Visual Compliance.
