Part 1: Editing the A page
Step 1:
•FIll in a date and day/time cell for EACH of the attending students.
•Example: if your SG was on Monday 9/16/2013 from 4-5:30pm and 3 students (including both preceptors) you would create 3 new rows beginning with "9/16/2013" in the first cell, and "Monday 4-5:30pm" in the second cell of each row.
Step 2:
•Fill in the study group ID.
•The SGID is: "###-your courseID". Each SG will have a different code. Think of it as a barcode used to identify an individual product. The first three numbers will change, but the courseID stays the same.
•Example: If your course was given the courseID FA13-0001, 3 people attend, and this is the first SG to be held by your course, you would fill in the SGID "001-FA13-0001" for EACH of these 3 students.
•DO NOT skip a number because you see 1 or more SGs that were technically held before you still haven't entered in attendance. Simply choose the next sequential number.
•If your course has two SGs per day it does not matter which is entered first.
Step 3:
•Fill in the name of each student who attended as well as their eid.
•If the SG is cancelled for whatever reason, please make one entry including the appropriate information for steps 1 and 2, and write "No Attendance" and "N/A" in these columns.
but wait, you're not done yet....
Part 2: Editing the SGDE page
Step 4:
•Enter in the SGID and courseID.
•Example: after finishing entering in attendance on the A page, create one new row for the SG on the SGDE page.
•one row for each SG, using the same SGID you entered into the attendance page.
•The courseID will stay the same all semester, simply copy and paste this information into each new cell.
Step 5:
•Enter in the day, day of week and start time of the SG
•On the SGDE page each you create one row for each study group held, unlike the A page, where the number of rows created is dependent on how many students attended.
•Please use the formats shown on the example page. This means using the date format shown, capitalizing the day of the week (no abbreviations), and writing the time as x:xx (no pm/am, if an SG was started at 5:30, we can probably be sure it wasn't 5:30am).
Step 6:
•Finally, enter in the location, and the total number of students who attended (including yourself and your fellow preceptor!!). This should be the same as the number of rows you created on the A page.
•Please do not use the full name of a building, just use the abbreviation followed by the room number. Also, DO NOT type anything other than the number into number attending, (ie "3 students").
Infinite thanks to Allison Cahanin, SP fall13/spring 14 for creating all of this material, including this attendance method itself!
