Printing New Membership Cards

Things to Remember

  • Back Office Gifts include those that come to the Blanton via the Lockbox, Mail, Telephone, or the Museum Shop
  • Online and Daily Sales gifts include those purchased online or in person at the Visitor Services desk
  • Individual is 1 Card (the Manager of Membership signs these)
  • Dual, Family, and Sustaining are 2 Card General (the Manager of Membership signs these)
  • Founding, Contributor, and Patron are 2 Card DC (or Director’s Circle) (the Deputy Director, Operations signs these)
  • Envelopes are printed from the Bypass Tray
  • 1 Card Letterhead is in Tray 3
  • 2 Card Letterhead is in Tray 4
  • Only print the cards after they have been processed (contact information and name formats checked, expiration dates corrected, if necessary, etc.)


Printing Cards

  1. First check to see if you have any Gift Memberships in your stack and print those first
  2. Go to the Information Library (under the Analysis tab in Altru)
  3. Open the folder Membership Cards
  4. Choose the Back Office or Online/Daily Sales subfolder
  5. Select the Query that matches your batch (1 card, 2 card or 2 card DC)
  6. Click on the title of the query and then process the query by clicking on the yellow bar
  7. Check your stack against the query. If your stack does not match the query, you will need to stop and investigate what is wrong
  8. If your stack matches the query, click on the Memberships tab at the top of the page
  9. Click Print Membership Cards
  10. Select the name of the process that matches your stack and click on the blue title
  11. Click Start Process, then click Start again
  12. Click Print Cards, select the letter type that matches your stack, and click Save
  13. Open the file of letter, check for any last-minute errors and print
  14. Then print your envelopes: Click Clear Results (you will be asked to confirm this action)
  15. Click Start Process and Start again
  16. Click on Print Cards and select Membership Card Envelope
  17. Hit Save
  18. Print your envelopes
