Gifts - Library books accession checklist

 

Questions to ask with every gift of books

  1. Was it acquired with an archives?
  2. What is the gift agreement - conditions, donor expectations (formal or informal)
  3. Will the donor be claiming a tax deduction? if yes, we must retain for 3 years before discard
  4. Is it a general collection or subject specific collection?
  5. Does it merit a full bibliography (Zotero)? (Regardless of whether we decide to add all books to our collection)
  6. Does it merit a provenance note?
  7. Do we foresee placement in general collection? Special collection?
  8. Is this the entire library? Do we expect future gifts?
  9. Does gift come with monetary support?

Compile answers and create a processing plan

 

Central Gifts Processing was dissolved fall 2015.

Once the selector has decided to add a title, then it can either be processed locally or sent to Cataloging & Metadata Services. 

If it is sent to Cataloging & Metadata Services, it must be accompanied by a Gifts Review Form.
