A Resource Email Account— also called a Shared Email— has its own email address, mailbox, and calendar. But rather than logging in with an EID and EID password specific to that email account, you login using your own UT EID credentials. Using your own credentials negates the need for sharing credentials among colleagues which increases security. It's also fewer passwords to remember so the chance of not being able to sign in because you don't know the password is decreased (if not eliminated).

How to request a new Shared Email
If you'd like a Resource Email Account created for your group or department,
Submit a ticket to CNS IT here or by sending an email to help@cns.utexas.edu and include the following information:
- Display Name: This is the name people will see when they receive an email from the account.
- Email Address: Include the full email address you'd like.
- Who needs access: Include the names and EIDs (if possible) of all people who need access. It's easy to add and remove access later on, so this doesn't need to be a complete list.
How to Request Access to an existing Shared Email
If you or someone on your team needs to be added to or removed from a Resource Email, include the following in a ticket to CNS IT:
- The email address of the Shared Email
- The names and EIDs of those needing permission changes
- What permissions changes need to occur
- See below for an explanation of permissions types
Permission Types
Full Access allows users to open the mailbox, read and delete emails, and view and edit calendar events.
Send As allows users to send emails as the Shared Email. Recipients of emails will see emails as being from the Shared Email's display name.
Send on Behalf allows users to send emails on behalf of the Shared Email Recipients will see emails as being from the user on behalf of the Shared Email.
How to Open a Shared Email
In the Web
Open the Resource Account in a New Tab for Quick or Occasional Access
- Sign in to your personal Exchange account in the Outlook Web App using your UT EID and password then authenticating with Duo.
- In the upper right corner, click your name, then click Open Another Mailbox.
- In the Open Another Mailbox dialog box that appears, enter the email address of the Resource Account then click Open.
Add the Resource Account so It Displays Under Your Primary Inbox in the Outlook Web App
- Sign in to your personal account in the Outlook Web App using your UT EID and password then authenticating with Duo.
- Right-click the bolded Folders header in the left navigation pane, and then choose Add Shared Folder.
- In the Add Shared Folder dialog box, type the email address, then select Add. If a UT Austin login window appears, enter your personal EID and password and authenticate with Duo.
Mac
"Legacy" Outlook Desktop Client
- In the Outlook app, on the Tools menu, click Accounts.
- Click your Microsoft email (usually in the first.last@austin.utexas.edu format), then click "Advanced..."
- Click on the "Delegates" tab.
- Under "Open these additional mailboxes:", select the plus icon.
- In the "Search for a person..." field, enter the address of the shared mailbox, then click Add.
- Restart your Outlook application.
"New" Outlook Desktop Client
- In the Outlook app, on the Tools menu, click Accounts.
- Click the Plus Sign, then click Add Open Shared Mailbox...
- In the "Search for a person..." field, enter the email address of the shared mailbox, then click Add.
- Restart your Outlook application.
Apple Mail
The Mail for macOS application is no longer supported for accessing and using Resource Accounts. See the FAQs for more information.
Windows
Outlook Desktop Client
- In Outlook, choose the File tab in the ribbon.
- Choose Add Account from beneath the drop down.
- Enter the Shared Email address in the E-Mail Address field, leave all other fields blank, then click Next.
- When asked for username and password:
- Remove the Shared Email from the username and replace it with your personal Exchange email address
- For password, use your EID password.
- Check Remember My Credentials.
- Click OK.
- Click Finish.
- Close and Reopen Outlook to finish adding the account.
Smartphone
Outlook for Mobile
- Open the Outlook mobile app on your smartphone.
- Click your account icon in the upper left corner, then click the Add Account icon.
- Choose Add Shared Mailbox, then enter the email address of the shared email account, then click Add Shared Mailbox.
GMail for Mobile
The GMail application is no longer supported for accessing and using Resource Accounts. See the FAQs for more information.
Mail for iOS
The Mail for iOS application is no longer supported for accessing and using Resource Accounts. See the FAQs for more information.
FAQs
Can I add/remove access to a Resource Account myself?
You must have manager access in order to adjust permissions to the account. If you need manager access or aren't sure if you do, create a ticket with CNS IT including the email address of the Shared Account.
Once you have manager access, follow these steps:
- Sign in to the Resource Admin Tool online using your EID and EID password.
- In the left hand navigation bar, go to Modify Shared.
- Click on the name of the Shared Email, then click Select Resource.
- The fields on the page will populate with the current settings for the Shared Email.
- To give someone access:
- Enter the person's EID in the appropriate field, then click the button to give them the needed permission.
- To remove permission:
- Click on the person's name, then click Remove User.
- Do this for every permission you'd like to remove them from.
Why can't I use a Shared Email in Apple Mail, Mail for iOS, or GMail mobile app?
Microsoft has disabled Basic Authentication which means Office 365 accounts can only be logged into through email clients that support Modern Authentication. IMAP— the protocol that previously enabled Resource Accounts to work in Mail and GMail— uses Basic Authentication and will no longer work. The Mail app on macOS supports Modern Authentication which allows for signing in to your personal UT O365 mailbox, however Resource Accounts are not able to authenticate successfully. The GMail app does not support Modern Authentication for logging into Office 365 accounts.
We recommend using the Outlook desktop and mobile apps or the Outlook Web App.
