General room res (see also scheduling study groups)

plan for ~15-18 classrooms Sun-Wed, fewer on Thurs (12) if supporting ~20 courses.

popular rooms to reserve include: all on 6 pack (MEZ/PAR), JES, GAR–great for chalkboards.  Make sure all have movable chairs and computer in room!

note: sanchez (SZB) is lovely building but does NOT have computers in rooms.  if adding sg there, make sure preceptors know to bring their own laptop to take attendance/collect on sheet of paper.


Weekly planning meetings can certainly take place in classrooms reserved through the registrar (http://registrar.utexas.edu/staff/rooms), but for convenience consider finding a room in the same building as the professor.  Below is a listing of contact people for some of the science building hubs.

 

To check if a room is ours: On the scheduling system (https://utdirect.utexas.edu/nrrooms/rrs_mm.WBX), I use the ‘View Room Schedules’ for ‘List Semester Long events’.  Then when I’ve entered in the room number and semester, the confirmation codes are listed on the right side (as well as at the top of the details page)!

"I need to go over some of the ground rules about this room. We have a key that needs to be signed out each time and returned promptly since there is a class following Dr. Chan’s meeting. There is a class in that room from 10:00 to 11:00, so, the key cannot be picked up early AND we do not want people handing the key off to each other, especially people who are outside of our department. The classroom must remain fully locked (i.e. the deadbolt engaged) when not in use (we had a few technology thefts when we first moved into BUR and Liberal Arts has since insisted that we make sure the classroom, along with 234, fully locked when not in use)."

Requests for Future Semesters

Requests for room reservations for future semesters need to be submitted via e-mail. It is never too early to submit a room reservation request. Future requests will be placed into a queue and processed in the order received.

In general, future semesters are processed in the times listed below.

Fall requests - processed in mid-July

Spring requests - processed in late November 

Summer requests - processed in early-May

 

Special Reservations on No Class Days and Final Exam Days

There are restrictions on what can be scheduled in general purpose classrooms on the no class days preceding final exams and on final exam days themselves. No class days and final exam days are listed in the University academic calendar.  Final exam days are also posted in the Index of exam times.  The final exam schedule is published about four weeks before the end of the semester and is subject to change. Please submit future final exam day event requests via e-mail. Requests will be held in a queue to be processed after final exams are scheduled.

Due to conflicts arising from special reservation holders refusing to defer to exam holders in recent semesters, special reservations in between exam periods are now scheduled with 15 minute buffers preceding and following final exam periods. For example, extended office hours scheduled in between final exam period 1 (9:00am-12:00pm) and final exam period 2 (2:00pm-5:00pm) would be scheduled from 12:15pm-1:45pm. 

 

Dead Days or Reading Days

 

Cannot Schedule: class related activity, final exams, paper turn-ins

Can Schedule: office hours, exam reviews, study groups, student organization meetings (quiet events)

Final Exam Days

 

Cannot Schedule: paper turn-ins, student organization events, GPCs to grade exams, exam reviews

Can Schedule: extended office hours, SSD exam accommodations, dissertation defenses (within three hour exam period)
