Processing Memberships Checks

Enter the gift in Altru

  1. Go to the constituent record
  2. On the left-hand side, under Tasks, click, Add Membership
  3. If the check is for a new membership or renewal proceed to step 5
  4. If the check is for a gift membership, click Giving a Membership to Someone Else under What Are You Doing with This Payment
    1. Under Who is the Membership Being Given To enter the recipient’s name
  5. Set the Inbound Channel to Mail
  6. Under What are They Paying For, select the appropriate answer for new memberships, renewals, or rejoins
  7. Make sure the Level, Term, and Expiration date are correct
  8. Make sure the Membership Amount is correct
  9. Check the check and any accompanying notes for changes to the names on the membership
    1. If no changes are noted, leave the secondary members and names-on-card as-is
    2. If changes are noted, make the changes to add or remove the secondary member and update the names-on-card and addressee/salutation name formats as needed
  10. Under How are They Paying, select Other and set Other Method to Back Office Check
  11. Double check that everything is correct
  12. Click Save

 

Next steps for processing and acknowledgment

  1. Enter gift in VIP, as you were taught during VIP training
    1. If there is a benefit amount associated with this membership level, add it
    2. If the gift is especially large, batch it separately for faster processing
  2. Make 2 copies of check
    1. One copy, plus the original check, goes to Texas Gift Operations
    2. Black out the account info on the second copy and use it for Membership filing
  3. Send digital cards
  4. If requested, print, sign, scan, and mail letter
  5. File Membership copies of check/letters
