Reminders for batching CRV YES transactions (B scene, etc.)

  • Separate gifts made by check and gifts made by credit card into different batches.
  • Give Texas Gift Operations a copy of the page with the credit card tape. The original cannot run through TGO’s scanner for imaging.
  • Make sure the contents of the tape fit on the page, which means only including the “Settlement Report” tape.

  • CRV-Yes vs. CRV-No
    • Gifts made by check and credit card can only be batched together if the batch is CRV-No.
    • Among CRV-Yes batches (those needing to be vouchered and deposited), batches should contain gifts made by only one method. In other words, credit cards gifts should be gathered into one CRV-Yes batch, gifts made by check into another batch, etc.
  • Credit Card tape
    • Each gift document within a batch will eventually become an image in VIP. So that each document can be scanned, please include only the “Settlement Report” and “Totals Report” sections of the credit card tape.
    • We don’t necessarily need the original tape (although I know y’all had been asked for this in the past) as long as the information on a copy is legible. My coworkers advise setting the resolution on your copier to 600dpi in order to get a good copied image of the thermal tape from a credit card machine.
  • Before an event where you will use the wireless CC machine, please shoot us an email to let us know that an oddball batch like this is headed our way. This allows us to address the work it requires in an orderly fashion (a couple different hands will touch it) and allows us to get you the funds you deserve and receipts to the donor as quickly as possible.
