Entering Non-Membership Gifts in VIP

Note: Any non-membership gifts you enter in Altru will likely be for Annual Fund, which is managed by the Membership department. Occasionally, you may be asked to help Development with a gift or with Altru gift entry training.


  1. Find the correct constituent record in VIP
    1. Make sure you add the gift under the name on the check
    2. Sometimes, donors will send in gifts from their Foundations or companies, and in these cases, the gift is entered under that record, with the individual listed as soft credit (you will receive VIP training on identifying hard credit/soft credit gifts)
  2. Click Add Gift
  3. If this is a pledge payment, select the correct pledge
  4. If it is not a pledge payment, add as a new gift
  5. Enter the Payment Form, Amount, CSU, Designation, and Account ID
  6. Type the check number and any other notes you’ve been given in the Remarks box
  7. Click Add
  8. If the gift is in honor or memory of someone, click the Receipt Detail tab and select that info under Memorial Override Designation on the receipt and include the EID of the person being honored
  9. Make three copies of the check and any relevant paperwork
    1. One copy will go to Texas Gift Operations along with the original check and batch sheet
    2. The second copy will go to the Blanton’s Business Office
    3. The third copy will be used for Membership files
      1. Black out the bank account information and scan the copy for digital filing

File the hard copy in the Membership filing cabinets
