Booqable (Rental Software)

Intro to Booqable 

Booqable is a cloud-based rental and order management software designed for small to midsize rental businesses. It allows businesses to manage their inventory, reservations, and orders in real-time, automate booking processes, track rental items, and generate reports. With Booqable, businesses can also create a custom storefront to showcase their rental products and accept online bookings and payments. The software can be accessed through any device with an internet connection and is designed to be user-friendly and intuitive. Booqable is extremely user-friendly. 

 

There is a 14 day free-trial that can be extended upon request. All work from the trial will be maintained once the full package is purchased. The Essentials package (base) is $29/month. Single Sign On is not included in the Essentials package (base) but can be added on for $20/Month.

Booqable's customer service is exceptional, but the response time is faster when contacting them through the chatbot feature available on the user's account.

How to change the reservation duration period (length) ? 

Settings > Rental Period > Rental Period: 

 

Dates and Times:  

This lets students choose any duration length as long as the pick up and return times are within business hours. For example students can reserve gear for 2 days, 4 weeks… etc 

 

Fixed Durations:  

This lets students pick the return time but not the day. For example students can choose to return the gear at 9:30 am but the day is auto populated based on the start date + the amount time chosen for this setting. You can have different options for students as well. For example: give students the option of 1 week or 4 weeks. They are able to choose between those two but not in between or more. 

 

Fixed Time Slots: 

This lets the admin choose separate hours from operating hours  

 

How to enable operating hours? 

Settings > Rental Period > Operating Hours: 

 

You can edit, add or remove any of the operating hours increments here! 

 

How to change some of the wording on Booqable? 

Settings > Translations: 

 

Here you can navigate through the different options to change the wording. Booqable has some preset word/phrases throughout the website & allows the admin to change some of the verbiage. Browse through the options here. 

 

Personalizing the checkout process? 

Settings > Checkout: (towards the bottom) 

 

Student Accounts: 

Make sure that accounts are required  and Students can create an account. 

 

**Note that admins are able to disable and delete accounts if necessary. Reason behind accounts being required: if we allow for guest checkout, it will be hard to find student past records. This ensures that a history report can be easily traced back to same student 

 

 

 

 

 

 

Checkout Fields 

You can add checkout fields that you want students to fill out when they checkout. We created a comment section and a highest course enrolled field. There are two different options > Mapping the field to the customer or the order specific.  

 

When changing the terms and agreements, y6ou can go in and update them directly in this section as well.  

 

Personalizing emails 

Settings > Emails: 

 

Email Templates:  

These are automatic emails sent but you can edit the wording and content.  

 

Unfortunately there isn’t a way to add more automatic emails (aside from the initial reservation confirmation) as of now. You can create manual templates though. These are templates that you can send to students from Booqable.

Personalizing Contracts 

Settings > Documents: 

 

Here you are able to change document templates. Select Contracts & Scroll down to Additional Information to edit the contents of the contract:  

 

Custom Fields 

Settings > Custom fields: 

 

There are 3 different field categories we can change –  

 

In the student information section, these are fields that the admin can add or change on a student profile. Note that these are not fields that can be added to the sign up page when students create accounts. These fields are managed by the admin. 

 

In the reservation fields, these are fields that you can add attached to the reservation. For example we added comments and the highest course enrolled field that students can fill out when they are checking out. However you can add fields that only the admin can see/edit. For example, if you wanted to add a status field to track the status of each reservation. 

 

The product fields are more fields that you can add to products. These are only shown to admins when you select a product. For example we added a level and brand field to add more meta information for products.
