Blanket OOEF Information

2024-25 Blanket OOEF

Due to current restructuring of Undergraduate College and Strategic Enrollment Management, the Blanket OOEF for 2024-25 is unavailable at this time. 

  • Departments using the OOEF blanket memo in the past should submit a blanket OOEF via DocuSign using standard procedures.
  • Be sure to enter 9/1/24 to 8/31/25 as the full event date range.

The Blanket OOEF memo is available to employees of Undergraduate College and must be utilized under the following guidelines:

  • Events will be less than $1,000. If the event is expected to exceed $1,000, an individual OOEF will be created and routed for approval in accordance with the required OOEF approval process.
  • Blanket OOEFs may be used for baked goods for morale events, including retirement gatherings, holiday, staff appreciation lunches, and end of the year gatherings.

    • Limit these events to one party per month per department.

    • Expenses should not exceed $5 per person in attendance. 

  • Blanket OOEFs may be used for recurring refreshments for consumption by faculty, staff, students, and guests.

    • Expenses may include bottled water, soft drinks, coffee, cream, sweeteners, and/or candies/mints.

    • Expenses should be reasonable and not exceed $300 per month.

 What are recurring office refreshments?

Recurring office refreshments are for the consumption by faculty, staff, students, and guests, including bottled water, soft drinks, coffee, cream, sweetener, candies/mints during business meetings and staff celebrations only.

 Can we buy snacks or refreshments to keep on hand for staff in the office?

No, we are not allowed to purchase snacks or refreshments for staff consumption during the workday.

 Can we buy plates, napkins, utensils, and cups?

These items can be purchased for events and business meetings only.  These items cannot be purchased to have on hand for in-office use.

 Can we buy other refreshments such as hot cocoa or juice under the blanket OOEF?

If purchasing hot cocoa or juice for birthday celebrations, those can be purchased under the blanket OOEF.

 What is the maximum per person cost under the blanket OOEF?

Maximum amount per person is $5.00.  If expected per person amount exceeds the maximum by a considerable amount, a separate OOEF should be submitted for approval.
