Export Outlook Folder to a .pst file

You can preserve/archive a folder structure by exporting from Outlook to a Personal Folder (.pst file).  

NOTE: Some messages may not be cached locally in Outlook. To ensure you are exporting ALL messages before exporting, either sync all messages or create a new profile with no caching.

  • In Outlook, select the folder structure you would like to export
  • Select the "File" Tab and then Open & Export
  • Select Import/Export
  • Select Export to a file
  • Select Outlook Data File (.pst)
  • Verify that the appropriate folder is selected.
    • Note: To export your entire mailbox including calendar and contacts, select the root level folder which is usually listed as your email address.
  • Select Include subfolders 
  • Choose where you would like to export the .pst file and the name of the exported file
  • Since this is a new file choose, Replace duplicates with items exported
  • Select Finish
  • It is recommended NOT to add an optional password.  If you forget it, your data is lost forever.

NOTE:  DO NOT open a .pst file that is residing on a network share.  It is best to copy the .pst file to your local computer to the folder: Documents/Outlook Files
