How to "Mass Immunization" on an iPad

  1. Log into an iPad (click the power button) and enter the passcode "4758331" (HITS phone #)
  2. Click the Safari icon
    1. Click the PnC icon. Once in PnC, click the Mass Immunization button and log in with your Windows/PnC credentials (usually firstInitial+<DOT>+lastName) and your Windows password (not EID password) and Sign In.


  3. Choose the "Mass Immunization" button. Your options might look different. 

4. Select the Device Location of where you are holding the clinic and click OK.   



  1. The next screen says "Scan appointment, barcode, or..." and you should see your information at the top.
  2. *** YOU MUST CLICK the "Bill Patient" CHECKBOX FOR THE PATIENT DOES NOT GET CHARGED ***


    1. Using the dropdown menus, select the Department, Vaccine, Manufacturer, Volume, Route, Lot# and Expiration. Most of these will autofill when you pick the Vaccine.
      1. Department is : Immunization Clinic
      2. Vaccine should only have 1 option and Manufacturer, Volume, Route should auto-populate.
      3. Lot # needs to be selected.
      4. Expiration Date auto-populates after Lot # is selected.
      5. Funding Source: select Other
    2. At this point, it should look like this when filled out. Vaccine information may vary: 



  3. Anytime you see the red text at the top "Not ready to process barcode scans. Please click here before scanning.", click that text.
  4. For the appointment, the student may be one of the following:
    1. If they have a barcode:

      • Use the scanner to scan their barcode from their phone or paper.
      • The patient will load. 
    2. If they have an appointment but no barcode or your scanner is not working:

      • click "Participant with Appointment and No Barcode"
      • Enter the patient EID and Search

        then select the student from the search results and the student will load. 


    3. If they do not have an appointment:

      • Click "Walk In - Registered Participant with No Appointment"
      • This will create the appointment and the student will need to fill out all the consent forms from their student portal. 
      • Click Stop and advise the student to step aside and to come back to an appointment line after they are done filling out their consent  form. They can find the consent form in their MyUHS portal, under Consents.
      • Move onto the next student. 
  5. At this point, the student has been loaded into PnC on the iPad.
    1. Verify the student information is correct. 
    2. Click the “View” button to verify they signed the consent.
    3. This is what the consent will look like if is filled out and signed: 

      1. If they are not signed, have them log into their portal, fill out the consents, and sign.
      2. If they signed but filled out "Yes" to the top section of the consent, this could be in error.
        1. If so, you can "Reissue Portal Consent" and have the student log back into the portal and redo it OR
        2. hand them a paper copy to fill out. Document that they signed the paper consent form under "Comment/Consent Details" field in PNC (under Site of administration). The note should read: "PAPER CONSENT FORM SIGNED"
    4. Once signed, click the green Acknowledge button
  6. When you're ready to administer the vaccine, select the Site (Left or Right Arm), and opt out of both sharing and reminders selecting No.
  7. Click Administer Vaccine. ***DO NOT CLICK THIS WHEN TRAINING. Click "Cancel Order and Start Over" instead so that we don't take from our inventory ***
