How to Check for Conflicts during Final Exams

Preparation
RGNW1496: Run RGNW1496 to know where exams are scheduled (according to file 60). This will be in Mainframe, TXTASK, SSJ, RGJGFINX, P, RG, go to second page, place 'X' next to RGNW1496.
Delsey: Run a new Delsey letter for the final exam dates to know what reservations have been made (including finals). This will be in Mainframe, TXTASK, SSJ, RGJGDELS, P, RG, place an 'X' next to DELD.
RGNWNBZR: Run RGNWNBZR to verify there are no missing switches in NREXAM, SCH screen. Sometimes due to user error, or system error rooms drop from the SCH screen. This makes sure all exams are scheduled in SCH. The only exams that should be missing an 'X' in SCH are online exams that don't have an examining room which requested to be listed in the final exam schedule.
Procedure
Compare the exams listed on RGNW1496 and the Delsey to verify that:

  1. Exams scheduled in GPC have a corresponding reservation listed on the Delsey, and all final exams listed in GPCs on the Delsey should have a corresponding final exam listed on the 1496 report
    1. The only final exams listed on the 1496 report that will not be listed on the Delsey should be non-GPC rooms
    2. The only final exams listed on the Delsey that will not be listed on the 1496 are final exams for online classes that do not have a timeline
  2. No unexpected final exam scheduling conflicts in RGNW 1496
    1. MOST rooms are in alphabetical order on the 1496. Be aware that some rooms may be out of order if final exams are scheduled in additional rooms; be sure to check these spaces for conflicts as well.
  3. No unexpected conflicts with final exams and special reservations in the Delsey
  4. All special reservations that are not final exams are properly blocked out in *NREXAM SCH
  5. Ensure the only events scheduled in GPCS are approved events (see Final Exam training for more info):\\austin.utexas.edu\disk\reg\Registrar\Final Exams\How to Documentation\Final Exam Training.docx
  6. Correct any errors that you find (blocking out in NREXAM, making reservations in the RSS, etc.)
    1. Investigate any oddities by looking through the corresponding final exam folder in the Scheduling inbox, the final exam tracker, using past J reports, and finally, by asking the final exam lead.
