How to Order the Delsey Letter

General Information

There are three jobs Scheduling runs every Thursday morning OR Friday morning in the Mainframe that communicate to custodial services and others. These are (1) Single Date Reservations, (2) Semester-long Reservations for class days, and (3) Semester-long Reservations for no class days.
Generally, we run the external version of these jobs which pushes this information to external users. Sometimes we want to run these jobs without pushing copies of the reports to external users. For this, we would use the internal version and these reports route to the Scheduling server instead: \\austin.utexas.edu\disk\reg\scheduling\RmSchedules

During staff holidays such as Thanksgiving and Christmas, the Delsey jobs need to be run on the day before the staff holiday and need to encompass all days off. On certain occasions the Delsey jobs need to be run for 2+ weeks depending on when holidays fall. Pay attention when dates will encompass no class days and class days as the YYS must correspond with the dates entered or the job will not run. EX: A week that includes the no class days after the spring semester and also includes the first class days of summer. During weeks like this, additional jobs must be run so that the YYS corresponds with the dates.

*PLEASE NOTE THAT FOR OUR WEEKLY DELSEY REPORT WE WILL BE USING THE EXTERNAL JOB NAMES*

Job 1: Date-by-Date Reservations

  1. Log into the Mainframe
  2. Choose "ST"

3. In the "Enter Input" field, type 'txtask' and press <enter>.

3. Fill in the following information, then press <enter>:

  • In the "Command" field, enter 'SSJ'
  • In the "Name" field, enter 'RGJGDELS'
  • In the "Version" field, enter 'P'
  • In the "Dept" field, enter 'RG'


4. Select your job by placing a 'y' next to the job name.

  • 'RGJNDELW' for external use
  • 'RGJNDELD' for internal use

5. If you are running the Delsey on Thursday, change the runclass to "N" on the RGJGDELS and RGJGSCH5 screens. This means that the Delsey will be run at the end of day on Thursday to ensure the most recently made weekend reservations are included.

If you are running the Delsey on Friday morning, the runclass auto-populates to 4 on the RGJGDELS screen. You can keep it at 4 meaning the Delsey job will be run automatically.
6. Overwrite the following fields and press <enter>:

  • YYS with current YYS
  • Start data with upcoming Friday's date*
  • End date with following Friday's date*


*For internal use, or external use to encompass holiday breaks, you could enter whatever range of dates you wish here.











The next pop-up screen will contain the job number. Keep record of this number, by saving the information on the Delsey Job Numbers document found here:

Job #2: Semester-long Reservations for class days

7. Press Enter to return to the main screen. Overwrite RGJGDELS with RGJGSCH5. Make sure Command is SSJ and press <enter>.

8. Press <enter> to scroll down the screen to this position:

9. If you are running the Delsey on Thursday, change the runclass to "N". If you are running the Delsey on Friday morning, leave the runclass as "A" (as shown above)
10. Select your job by placing a 'y' next to the job name.

  • 'RGJNDAYW' for external use
  • 'RGJNSDAY' for internal use

11. If you are running the Delsey on Thursday, change the runclass to "N". If you are running the Delsey on Friday morning, leave the runclass as "A"
12. Enter the current YYS in the "Input Data" field and press <enter>.
The next pop-up box will contain the job number. Record this job number in the same word document.

Job #3: Semester-long Reservations for no class days

13. Repeat steps 7-11. In step 11, enter the current YYS minus 1. For example for summer, use XX5.
