Lockbox Coupons (Manual Entry)

  1. Do these need to be entered into Altru? YES.
  2. Do these need to be entered into VIP? NO. They are already in there.
  3. Do these need to be scanned? NO. Coupons scans are already attached to the individual VIP gift records – you can download these and upload them to the appropriate Altru constituent record.
  4. Lockbox gifts are part of the Back Office Membership Card Printing Process.


Processing Lockbox Coupons

  1. Alphabetize the coupons you will process
  2. Open Altru, and search for the constituent by their member ID or name
  3. Click Add Attachment and upload the gift documentation (see: Altru Digital Filing instructions)
  4. Check the coupon to see if you need to update any information on the member’s record
  5. Click Add Membership under the Tasks box on the left
  6. Enter the finder number from the coupon
  7. Enter the Inbound Channel as Lockbox
  8. Scroll down to What Are They Paying For? and select Renew the Blanton Membership
  9. Look at the expiration date
    1. If the Offer Code on the coupon ends in a 1 or a 2, add 2 months to the date in the Expires On field
    2. Always use the last day of the month for the expiration date. You can add the extra months by entering the R2 offer code, but you will still need to double check, as Altru is sometimes off by a day or two.
  10. If the Offer Code ends in a 1, click Yes under “Is there a discount or promotion?” and enter the full code. Example: 0518R1. This will discount the price of the membership. Check that the amount on the coupon matches what is being entered. (Note: If the code has already expired, Altru will not accept it – you must then alter the membership amount manually.)
  11. Under Who Else Should be Included on This Membership, add or remove any secondary members as needed
    1. Note: If the back of the coupon is blank, leave the members included as-is
  12. Under Which Members Should Receive a Card, look at the Name on Card field to be sure the names are correct.
    1. If there are 2 people on the membership, add the character “&” between their names)
  13. Under How Are They Paying:
    1. Select Check if there is no credit card listed on the coupon
    2. Select Other, then Lockbox if they paid via credit card.
  14. Hit Save
