Responsibility and Respect

Room Problems: Locked Out, Confirmation codes, etc

What to do if you…

Want to use the projector/computer in your room?

the code "1988" will access computers embedded in classrooms across campus (except in GDC, which requires users to bring their own computers as far as I know).  Choose system power on to have the screen project what's on the computer.

Are locked out of your room?

This is the official text from the Registrar's office:
In the event the room you have reserved is not unlocked, contact Facility Services at 471-2020 (in the evenings or on weekends).  If there is no answer, call the University Police at 471-4441 for assistance.

Here's what else you need to know:
The rooms are reserved for "Peer-Led Undergraduate Studying Program." The office in charge is the Sanger Learning Center.

If you are locked out, fix the problem first by calling the numbers above.
Later, tell Leta and/or your senior preceptor by email no later than the next business day. VERY IMPORTANT!

Fancy buildings require fancy security.  If you're in CLA please bring a printed confirmation of the room your study group is in by asking your SP to print the room confirmation code from the Box document.

Is someone else in your room?

Contact your SP to get the confirmation number of our room reservation.

Collect as much information as you can about the group–are they a student group? class? etc.  what is their contact email/information?

If/when have confirmation number, share with squatters, and ask for their confirmation number.

Let Leta know, and she'll follow up with the folks who reserve the rooms to ask for a polite reminder that the squatters do not have the room

For the day's session, though, keep calm and communicate to those showing up what's happening, encouraging them to stay and start compiling questions.  See if there is another room nearby.  Consider outside if it's nice and possible.

per the registrar:

politely gather information about the identity of the other person or group and
inform them the room is reserved for study groups . The other party should
vacate the room if the published room schedule shows it is
reserved for PLUS. Afterwards, please follow up by sending us an
e-mail at scheduling@austin.utexas.edu with the date, time, room, and
names of both parties. The vast majority of perceived scheduling
conflicts are in fact simple mistakes. Without the name of the other
party, it is difficult or impossible for us to research the problem.
